Job Description

We are seeking a talented and self-motivated Admintrative Assistant for our Norcross, GA Branch Office. In this role, you will support the operations and sales executives while tending to administrative tasks. In addition, you may assist with scheduling jobs, preparing related reports and letters, maintaining subcontractor database, and assisting with customer interface and problem resolution. Additional duties and special projects may be assigned.


  • Provide accurate job costing for account executives (sales force) in a timely fashion.
  • Create field site maps, call out repair areas and create supporting document within designated software systems.
  • Work closely with account executive to develop a scope of work for project large and small.
  • Accurately produces contracts, sales letters, reports, job work orders, sub-contractor agreements and other correspondence, sometimes of a confidential nature, on a timely basis.
  • Calendar Management - send meeting invites
  • Office Catering - Ordering, set up and clean up
  • Client lead generation
  • Acts as liaison between the Sales Department and our clients
  • Assists Sales with tradeshow and networking activities and events
  • Communicate monthly office updates with Marketing
  • Proofreads own work for accuracy.
  • Organizes documentation, sets up and maintains all types of files and records for the office.
  • Ensures that contract terms, manuals, directories, references and other records are up-to date.
  • Maintains computerized data files and monitors access, retrieval and back-up.
  • Purges outdated information
  • Answers telephone promptly and in a professional, courteous manner and records messages when appropriate. Responds to routine calls, within guidelines.
  • Conveys messages to proper individuals, in case of an employee's absence or unavailability.
  • Orders office supplies
  • Other duties as assigned

  • Must be able to follow instructions and directions to perform job tasks.
  • 1-2 years' experience and/or degree or certification preferred.
  • Demonstrate attention to detail.
  • Strong organizational skills
  • Demonstrates excellent skills in producing correspondence and documentation, organizing records, filing and answering telephones.
  • Ability to gather data, compile information and prepare reports using spreadsheets.
  • Confident in Microsoft applications including Outlook, Word, PowerPoint, and Excel
  • Competency in Adobe Reader, Google Earth and Google Maps.
  • Possesses excellent command of English language including both verbal and written skills.
  • Demonstrates proficiency in operating personal computers and performing routine calculations.
  • Must be comfortable with hands-on work environment.
  • Display willingness to make decisions.
  • Identify and resolve problems in a timely manner.
  • Ability to prioritize responsibilities and manage workload.
  • Ability to apply general mathematical concepts.
  • Strive to continuously build knowledge and skills.

This highly visible position will require a professional physical and phone presence along with excellent customer service skills. Good organizational skills, precise attention to detail and follow-up capabilities are a must. Proficiency required in the use of Microsoft Windows applications: Word, Excel, and Outlook.
