Area Facilities Administrator

WSP is currently initiating a search for an Area Facilities Administrator to support our Carolinas Offices in North and South Carolina as we continue to grow throughout the region. This position will be based in the Charlotte, NC office and will play a key role in managing office operations and administrative staff, as well as actively foster a strong culture of collaboration and camaraderie.

Duties and Responsibilities:
  • Responsible for general office management including compliance with corporate systems, policies and procedures and communications to local staff
  • Supervises local office administrative staff in partnership with local leadership including performance management, compensation planning, and training and development
  • Assists with and provides recommendations for office space planning and facilities administration working with local leadership and the regional Facilities Administrative Manager (FAM)
  • Assists with office budget management with financial planning and analysis including overhead cost management
  • Responsible for Health Safety and Quality program administration including office safety audits, reporting and auditing
  • Assists in management of office moves, coordination with internal teams and external vendors as necessary
  • Oversees office service vendors such as vending machines, coffee services, etc.
  • Provides HR support during on and off boarding and staff engagement 
  • May serve as point of contact for company vehicle fleet program
  • May be assigned as Project Support Manager to facilitate and/or oversee all project office mobilization/demobilization activities, coordinate project-related procurements, and coordination of project-assigned real estate activities
  • Exercises responsible and ethical decision-making regarding company funds, resources and conduct and adhere to WSP’s Code of Conduct and related policies and procedures
  • Other duties as required by business needs

Minimum Qualifications:
  • Bachelor’s Degree or equivalent relevant experience
  • Minimum of 5 years of experience in office / administrative management.
  • Must possess a high level of professionalism and positive attitude when interacting with direct staff, colleagues and senior leadership
  • Proven leadership capabilities in managing teams and administrative support staff
  • Demonstrated intermediate-advanced competence using Microsoft Office applications and financial software
  • Must possess excellent interpersonal and written and verbal communication skills
  • Possess a wide range of timely problem-solving skills
  • Must be a strong team player with strong leadership skills
  • Exercise responsible and ethical decision-making regarding company funds, resources and conduct and adhere to WSP’s Code of Conduct and related policies and procedures
  • Proven track record of upholding workplace safety and ability to abide by WSP’s health, safety and drug/alcohol and harassment policies
Preferred Qualifications:
  • 10+ years of relevant experience in office / administrative management
  • Experience managing multi-site locations is highly preferred
  • Experience managing remote teams across geographies is highly preferred
