Job Duties

The Virginia Department of Transportation (VDOT) is excited to announce an opportunity to serve as a Business Coordinator in our Research Council.

This position is located in Charlottesville, Virginia. Position specific responsibilities and duties will include, but not limited to:

Processing all travel vouchers for staff and vendor invoices related to travel, licenses, and memberships. Working with staff to coordinate Background/Fingerprinting checks for new employees. Managing badging for the office. Providing administrative support to the Research Council staff for building issues, vehicles, accidents and Workers Comp claims. Assisting staff in developing project budgets. Performing quarterly expenditure reviews. Assisting the Implementation Coordinator with project tracking. Maintaining the employee database. Acting as a backup, covering the front desk for building access and deliveries. Schedules meeting rooms as needed. Performs other administrative duties as necessary.

Minimum Qualifications

  • Ability to use financial management and budgeting computer programs.
  • Experience with Microsoft Word, Excel, Access, Google Email and Google Docs.
  • Experience with administrative and accounting policies, practices, and procedures.
  • Knowledge of budget development and expenditure review.
  • High school diploma or GED; equivalent experience or training may substitute for education.

Preferred Qualifications:

  • Knowledge of administrative procurement principles and practices.
  • Experience using Cardinal and RMS.
  • Ability to research, analyze, formal data and prepare reports and recommendations.
  • Skills in electronic procurement and financial management systems.
  • Ability to read and interpret policies and procedures.
  • Functional and technical knowledge of Microsoft Office applications (MS Word, Excel, PowerPoint, Access, Google Email and Google Documents) at a high level of accomplishment.
  • Ability to create pivot tables in MS Excel with data from various databases to create summaries and analyze reports.
  • Degree in Business Administration, Public Administration, Transportation or related field; equivalent experience or training may substitute for education.

This position requires a fingerprint based Criminal History Background Check, DMV Record Check and Work History Verification with references.

VDOT is an emergency operation agency. Positions physically working within Central Office locations may be designated upon request and coordination among the respective District Engineer or Administrator and Chief. Assignments are updated annually. Not all designated employees are provided an emergency operations assignment.

Once onboarded, this position may be eligible for telework opportunities; availability, hours, and duration of telework shall be approved as outlined in the Commonwealth telework policy.
