Job Duties

Join an award-winning team of communications professionals at the Virginia Department of Transportation, the nationâs third largest state-maintained transportation network, as a Business Coordinator. This position is located in Richmond, Virginia.

The Business Coordinator will Coordinate a variety of business functions for assigned program area. Provide guidance to administrative or business staff. Ensure activities are prioritized based on organizational need. Tracks projects and develops reports for program area. Additional responsibilities include but are not limited to:

Records Management: Organize and maintain records for assigned program area per established retention schedules and policies.

Accounting: Ensure payments for goods and services are processed in compliance with policies and procedures. Maintain accounting records and files. Analyze financial transactions, verify payment documents and perform data reconciliations.

Contract Administration: Assist with monitoring assigned contracts.

Business and Administrative Support: Provide various administrative support services to assigned program area. Assist with the documentation of standard of operating procedures across various business functions.

Budgeting: Assist with financial and budgetary activities. Run budget reports, monitor expenditures and prepare reports.

Business Management: Recommend resolution to administrative or business problems resulting in an effective program. Assist with new processes to streamline workflows.

Special Assignments: Assist with special event logistics and vendor management.

Program Analysis and Reporting: Research and compile data and prepare reports or presentations for a variety of projects.

Procurement: Prepare requisitions and purchase orders for goods and services in compliance with established policies and procedures. Procure items from state contract and resolve billing discrepancies. Review procurement records to ensure financial activities comply with state and VDOT requirements.


Minimum Qualifications

⢠Experience using Microsoft 365 (Outlook, OneDrive, Word, Excel, SharePoint,Teams).
⢠Knowledge of GAAP, accounting policies, practices, procedures.
⢠Experience using financial management and budgeting computer programs.
⢠Knowledge of budget development and monitoring.

Additional Considerations

⢠Experience using Cardinal system.
⢠Experience with state budgeting practices and procedures.

VDOT is an emergency operation agency. As such, this job is essential to emergency response operations and expected to work in these situations, to include weekends, holidays, and after normal business hours; assignments may vary based on business needs to include working in severe weather.
