POSITION SUMMARY

Seeking a safety minded, qualified, dependable and self-motivated individual to support the Contracts team in the Construction division. A contract administrator should understand the high level of accountability and responsibility which typically accompanies the role. The overall requirements of a successful contract administrator generally include the following:

    • Attention to detail and the ability to spot errors and inconsistencies
    • Excellent reading and language comprehension
    • Ability to work with a team at all levels of an organization
    • Effective ability to negotiate and execute contracts
    • Proven management and leadership skills
    • Exceptional communication skills (oral and written)

RESPONSIBILITIES & GENERAL JOB DUTIES

The primary responsibilities include, but are not limited to:

    • Maintaining and updating the bid and project files
    • Tracking subcontractor records
    • File organization
    • Possessing solid data-entry, organization, and verbal/written communication skills.
    • Excellent computer skills including email, Internet, and Microsoft Office (Excel, Word).
    • Data entry into accounting system
    • Tracking subcontractor payroll/invoices and submitting to Accounts Payable for processing
    • Managing multiple spreadsheets and other tracking systems for various parts of the contract process to maintain compliance with company procedures, and State and Federal regulations.
    • Ensuring the business operates within the company's mission / vision statement.
    • Serve as a liaison between internal and external parties during contract development and negotiation stages
    • Negotiate terms, conditions and pricing, and ensure they are accurately executed and satisfied
    • Follow up to guarantee contractual payments have been made
    • Analyze potential risks that contract changes may pose to the organization
    • Investigating customer satisfaction and reporting any issues.
    • Working with department heads and senior management to get the best performance from staff.
    • This position will also be responsible for assisting with the paperwork preparation for upcoming project bids (i.e. tracking/distributing bid advertisements, ordering plans/specifications.) 

WORKING ENVIRONMENT AND CONDITIONS

    • This position requires working in the internal and external environment.
    • The duties of this position are typically performed in an office setting with normal ranges of temperature and a moderate to high level of office background noise. The majority of duties are performed while sitting at a desk.
    • Communication typically occurs through face-to-face interaction, as well as via e-mail, telephone and written correspondence. This job also requires the ability to use other office equipment such as copier, fax machine, etc.
    • Occasionally travel to meetings throughout the office and at other company office sites and client locations.
    • Constantly work in a team environment, effectively and efficiently achieving goals, improving processes and resolving problems.

PHYSICAL / MENTAL REQUIREMENTS

    • Requires considerable concentration and focus. It is subject to stress caused by a changing environment, diversity in the organization, tight deadlines and workload.
    • Normal concentration/intensity, which includes prolonged mental effort.
    • Normal memory, taking into consideration the amount and type of information.
    • Normal complexity of decision making.
    • Normal physical mobility, which includes movement from place to place on the job taking distance and speed into account. Note: This job description reflects management's assignment of essential functions; it does not prescribe or restrict the tasks that may be assigned.
    • Normal physical strength to handle routine lifting and transporting of moderately heavy objects, such as computers and peripherals.
