SUMMARY

At the direction of management, the Corporate Subcontract Administrator is responsible for entering data for subcontracts, work authorizations, and change orders, monitoring the issuance status, and assisting subcontract managers in document and information gathering.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  1. Assist in confirming required documentation for subcontract, work authorizations, and change order issuance for completeness and accuracy of information
  2. Enter data and processing for subcontracts, work authorizations, and change orders at the direction of management
  3. Communicate discrepancies, incomplete information, clarifications, and compliance in documentation.
  4. Issue and track subcontracts, work authorizations, and change orders.
  5. Participate in the continuing development of department instructions, policies, and procedures.
  6. Conduct subcontract-related audits to ensure that subcontract policies and procedures are followed.
  7. Collect and summarize subcontract and project data and trends to report to management.
  8. Perform other duties as assigned.
  9. The duties and responsibilities are intended to describe the general nature and scope of work being performed by this position. This is not a complete listing and other duties will be assigned based on the position’s role within the business unit.

EDUCATION AND EXPERIENCE:

  • High school diploma or equivalent required. Associate’s Degree in Construction Management or related field preferred
  • Minimum 2 years’ of purchasing experience or contract administrator experience, preferably in electrical construction
  • Can be a combination of education, training and relevant experience

KNOWLEDGE, SKILLS & ABILITIES :

  • Attention to detail and accuracy is essential
  • Understanding of negotiation, networking and dealing with numbers, as well as the understanding of other factors such as sustainability, risk management and ethical issues
  • Working knowledge of procurement techniques, procedures, policies and accounting
  • Excellent communication and interpersonal skills
  • Proficient in using a computer and Microsoft Office (Outlook, Word, Excel, etc.), Bluebeam or Adobe Acrobat; Oracle experience preferred but not required
  • Ability to prioritize and manage multiple tasks and changing priorities as necessary
  • Ability to work under time pressure and adapt to changing requirements with a positive attitude
  • Effective oral and written communication skills as required for the position
  • Ability to be self-motivated, proactive and an effective team player
  • Ability to interact effectively and professionally with all levels of employees, both management and staff alike, subcontractors, clients, and others

TRAVEL:

  • 0% to 10%

WORKING CONDITIONS:

  • General work environment – sitting for long periods, standing, walking, typing, carrying, pushing, bending. Work is conducted primarily indoors with varying environmental conditions such as fluorescent lighting and air conditioning
  • Noise level is usually low to medium
  • Occasional lifting of up to 40 lbs.
