WSP is currently initiating a search for an Executive Assistant for our Sacramento, CA office.

Duties and Responsibilities:
  • Assist with or coordinate completion of various deliverables. Assist in the preparation of procedure and policies. Compose and prepare special reports requiring a basic understanding of technical matters, particularly as they relate to project controls discipline. Create, format, and maintain other key documents as required.
  • On behalf of the Executive, send requests for action or information to the appropriate staff member, interpret requests and help resolve issues or implement action. On behalf of Executive, reviews and approves timesheets, E-Procurement, and other subconsultants’ invoices.  Review transmittals and materials prepared by others for signature. Maintain tracking systems for incoming and outgoing correspondences, requests, reports, contract modification forms, etc.
  • Maintain the Executive’s calendar, and arrange any necessary travel. Process expense reports, and follow up as needed. Answer the Executive’s phone, take messages, and assist with any meetings or return messages as requested. Create meeting agendas, prepare meeting minutes, attend various meetings at the Executive’s request to take notes and identify items for follow up. Create work instructions to aid in the performance of daily administrative work. Maintain conference room calendar and scheduling, reserve equipment, and assist with webinars as needed.
  • Assist Program Services Team members with various projects and requests.
