Position Title: Bilingual Front Desk Coordinator/Office Assistant

Type: Full-Time

Pay rate: Expected $17 - $19 an hour

Supervisor: Human Resource Manager

Hours of Work: Normal hours 8:00 AM-5:00 PM, M-F; Other hours as situations demand

Location: JDA Corporate Office, Austin Texas

Travel:  As needed

FLSA Type: Non - Exempt (Hourly)

Start Date: Immediately

Summary and Definition

The Front Desk Coordinator/Office Assistant will be the first impression of JD Abrams LP for all in person and over the phone interactions. This position will coordinate office activities and operations while providing clerical and administrative support to management. It is also an essential part of this position to be able to translate emails and documents from English to Spanish and to be able to read at a high level of Spanish. In this position it is important to be able to multi task while keeping a professional and friendly disposition.

Responsibilities

  • IMPORTANT: Provides Spanish translations, both verbal and written, as needed to ensure communication is maintained with JDA employee owners.
  • Creates a welcoming atmosphere to all guests/customers both in person and on the phone.
  • Assist with conference room scheduling.
  • Directs office activities and functions to maintain efficiency and compliance with company policies.
  • Assists clerical and support staff with their assigned duties, particularly when more advanced, skilled, or sensitive work is required.
  • Prepares agendas, makes travel arrangements, and maintains calendars for senior management.
  • Oversees telephone services, email correspondence, and mail distribution.
  • Maintains office supplies inventory.
  • Solicit repair or replacements services to maintain the facility in good condition.
  • Maintains records, documentation, and files, particularly more complex or sensitive files such as employee files.
  • Perform light housekeeping as needed. Like watering plants.
  • Ensure facility janitorial custodians are performing.
  • Ensure office COVID protocols are being met.
  • Performs other related duties as assigned.

  • Bilingual (English/Spanish)

  • Basic understanding of how to operate standard business equipment.

Preferred Qualifications:

  • Working knowledge or experience in construction or heavy highway construction.
  • Proficient with Microsoft Office Suite.

Experience and Education:

  • High School Diploma or GED
  • Administrative experience: 2 years
  • Customer Service: 2 years
