Front Desk Receptionist / Administrative Assistant

Position Summary:

The Front Desk Receptionist is the face of The Middlesex Corporation. As the first point of contact for candidates, callers, clients, and co-workers the role is responsible for answering incoming calls, greeting visitors, providing support as needed to all our departments, and maintaining a clean, clutter free workspace.

Reports to: Staffing Manager

Status: Full-Time, Hourly


Comply with and actively promote all Safety policies and procedures including reporting all accidents, incidents, and near-misses to ensure adherence to our Number One Core Value €“ Safety first, in everything we do.

Must be able to perform duties from 8:00 AM to 5:00 PM

Ensure all visitors and visiting employee€™s check-in and sign-in

Direct front door traffic

Screen and direct incoming phone calls

Check voicemails and passing messages along as needed

Familiar with staff on site

Alert staff when someone is here to meet or visit them

Ability to be resourceful and proactive when issues arise

Order front office supplies and keep inventory of stock

Handle incoming and outgoing courier service needs (FedEx, UPS, USPS)

Assist new applicants who come into the building applying for positions

Interact professionally with clients, visitors, vendors, and all departments

Prepare the guest book, package logs and courier logs for the next business day

Check and sort incoming U.S. Mail and interoffice mail and distribute accordingly

Ensure the reception/ conference areas are tidy and presentable

Provide miscellaneous administrative support for Human Resources and other departments

Provide support for duties which includes filing, data entry, and preforming a variety of other office tasks

Greet clients and make sure they are comfortable while they wait for their scheduled appointment


Bilingual preferred €“ Spanish and English

High School Diploma

2 €“ 3 years of Receptionist experience

Strong organizational and multi-tasking skills

Proficient with Microsoft Office (Word, Excel, Outlook, Power Point)

  • Commitment to safety, quality, and integrity oriented with strong professional work ethics
  • Ability to establish and maintain a working relationship with co-workers
  • Self-starter with good verbal and written communications skills
  • Ability to learn and acquire new knowledge and skills quickly
  • Above average organizational skills
  • Capable of multi-tasking effectively
  • Supporting HR Recruiter as needed
  • Ability to work independently
