The Human Resources Assistant is responsible for providing administrative support to the department, including coordinating recruiting, hiring, new employee onboarding, and assisting with other HR duties.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  1. Maintain HR department records, including electronic and hardcopy files, in a timely and well-organized manner; assist with record retention and destruction.

  2. Maintain accurate and up-to-date information on the company intranet and other online sites.

  3. Performs filing, typing, data input and other clerical support.

  4. Assists with onboarding documentation ensuring new employees have complete pre-employment packages and return required paperwork that is completed correctly and in entirety. Audits paperwork for accuracy.

  5. Assist in coordinating various HR-led programs and events (e.g. Benefits Fair, Summer Intern Program, etc.).

  6. Handle ad hoc employee HR questions, as well as resolve or filter personnel issues to the appropriate parties.

  7. Sort and distribute incoming mail for Department.

  8. Process weekly temporary staffing invoices.

  9. Completes verification of employment requests.

  10. Order and maintain office supplies.

  11. Assists with recruitment process, including placing job postings and scheduling interviews.

  12. The duties and responsibilities are intended to describe the general nature and scope of work being performed by this position. This is not a complete listing and other duties will be assigned based on the positions role within the business unit.

EDUCATION AND EXPERIENCE:

  • Associate’s degree in Human Resources, Business, or other related discipline  

  • Minimum 2 year’s previous administrative support experience in a professional business environment, 1 year preferably in Human Resources

  • Can be a combination of training, education and relevant work experience that is equivalent

KNOWLEDGE, SKILLS & ABILITIES:

  • High level of discretion and interpersonal skills to handle sensitive and confidential personnel matters and documentation

  • Computer, filing, and 10-key skills required

  • Strong organizational, record-keeping and follow-up skills;

  • Attention to detail is a must; strong analytical skills favored

  • Proficient in using a computer and Microsoft Office (Outlook, Word, Excel, etc.); Oracle a plus

  • Ability to prioritize and manage multiple tasks, changing priorities as necessary

  • Ability to work under time pressure and adapt to changing requirements with a positive attitude

  • Effective oral and written communication skills as required for the position

  • Ability to be self-motivated, proactive and an effective team player

  • Ability to interact effectively and professionally with all levels of employees, both management and staff alike, vendors, clients, and others

WORKING CONDITIONS:

  • General work environment – sitting for long periods, standing, walking, typing, carrying, pushing, bending. Work is conducted primarily indoors with varying environmental conditions such as fluorescent lighting and air conditioning

  • Noise level is usually low to medium

  • Occasional lifting of up to 35 lbs.
