The MAC Planner is responsible for providing move management /relocation services and office reconfigurations inclusive of MACs (Move Adds and Changes) on a wide range of projects and activities for an assigned portfolio.  


Under the supervision of the MAC Manager, the MAC Planner works directly with the client to fulfill customer requirements and maintain business relationships, while performing successful delivery of projects.  Plans all aspects of office move, furniture reconfiguration projects, minor construction and facility services tasks, including space planning, determining resources, development of project schedules, work plans, budget, quality control and assigning work tracks.  Monitors, coordinates and oversees all related move, workspace changes and occupancy planning, while acting as a single point of contact for all furniture policy issues and standards as set forth in client contract documents.



DUTIES & ACTIVITIES

             Directly responsible for the delivery of MAC projects, from inception to completing, including document management, planning & design, scheduling, budgeting, vendor management, regulatory compliance, communications, procurement, approvals and occupancy.  Coordinates strategic planning for moves, adds, and/or changes.


             Develop scope and specifications to meet client requirements through direct communication, site walk throughs and office space assessments.


             Reviews and deciphers AutoCAD drawings.  Prepares feasibility plans and furniture layouts/designs in AutoCAD.


             Research, liaison and maintain effective relationships with vendors/suppliers and service providers to obtain quotations.  Tender, negotiate and prepare budgets and costs for client review and approval, as well as manage all financial aspects of each project through to conclusion.


             Create schedules and monitors progress against timelines.  Conduct progress meetings with major stakeholders and develops detailed communications plans for moves including move instructions, workstation labelling and welcome packages.

             Develops and maintains high level and detailed move database logistics/migration plans for all office relocation, fit-out and projects. Tracks and monitors inventory of furniture and workstations.  Maintains tracking mechanisms for monthly reports.


             Coordinates and manages activities of movers, furniture vendors, contractors and electricians, monitoring performance and work progress to ensure completion.  Facilitates necessary communication between stakeholders, Corporate Real estate, the Facility Management team and 3rd party vendors to ensure projects are delivered with minimum disruptions and maximize efficiency.


             Contributes towards service delivery performance against established metrics, service level agreements (SLAs) and key performance indicators (KPIs). 


             Maintains effective relationships with clients.  Responsible for resolving issues, managing client expectations, and ensuring customer satisfaction.


             Other duties as assigned.













Requirements

 

             Bachelor's University degree (BA/BS/BEng/BArch) or College diploma in a relevant discipline or equivalent training.

             4+ years of related experience and/or training.

             Basic AutoCAD skills.  Experienced in analyzing, deciphering and interpreting Architectural drawings and base building floor plans.

             Full driving license required.

             General understanding of office furniture and space planning concepts.

             Working knowledge of current building standards, code and relevant health and safety legislation.

             Excellent written and verbal communication and interpersonal skills, including strong ability to negotiate.

             Strong organizational, analytical and quantitative skills.  Able to cope with changing client needs and deliver successfully within agreed upon time lines.

             Solid client relationship management abilities

             Effective delegation and conflict management skills

             Flexibility to travel as required. (Up to 25% a year), available to work flexible hours, afterhours, and weekends.

             Ability to multi-task, work under pressure and independently with minor supervision while achieving pre-established company goals and objectives.

             Advanced knowledge of financial terms and principles. Ability to conduct financial analysis and calculate intermediate figures such as percentages, discounts, and commissions.

             Strong problem solving skills and ability to recommend and implement improvements.

             Solid MS-Office suite (PowerPoint, Word, Excel) Outlook skills.  Knowledge in MS Project, leases, contract and construction practices.

             Bilingual English and French is a definite asset for the role
