JOB SUMMARY  

The purpose of this position is to provide space planning, data mining/analysis, reporting and interpretation of space planning metrics in an effort to provide recommendations and proposed solutions for a client's occupancy needs.


This position will report to the Regional Sr. Workplace Manager.

 

Ideal candidate will be able to apply knowledge to forecast space requirements, consistent with business and market conditions and to develop executable plans to support the business needs, corporate objectives, and programs/initiatives.

 

The candidate will provide tactical Space and Occupancy Planning expertise to manage the supply, capacity, and demand of portfolio space and to develop a best-in-class space planning function.

 

Responsible for the configuration, maintenance and management of portfolio drawings within AutoCAD and the application of record (IWMS).

 

ESSENTIAL DUTIES AND RESPONSIBILITIES  

Analyzes space requirements and provides conceptual space plans and recommendations to real estate team(s) and/or stake holders; Prepares block or stack plan(s); charter(s) and move lists.

 

 

Tactical Objectives:

  • Updates and Maintains AutoCAD drawings and/or related databases for the managed site portfolio per drawing standards (maintain standards).
  • Revise CAD drawings to reflect actual conditions, including site, space allocation and facility system plans.
  • Conduct studies to evaluate the utilization of office space as needed.
  • Plan and develop effective and executable migration and phasing plans for relocation and sequencing based on the physical space requirements to support the business needs and corporate objectives and initiatives required to achieve approved end state allocations across Business Units.  This could include simultaneous facilitation of both legacy and new work environment solutions as required.
  • Apply Knowledge to forecast space requirements based on verified existing space information, forecasted space supply/demand and growth projections.
  • Provide metrics around current and future space needs.  Gather qualitative and quantitative occupancy data for Clients stakeholders (Bus) and participate in conceptualizing and developing the migration plan.
  • Provide metrics around loading, seats gained/lost and stack planning.  Collect, organize and analyze data related to Clients facility requirements and physical space needs.  Clearly document findings and provide conclusive outcomes.
  • Partner with MAC team to develop high-level migration and phasing plan for sequencing of moves required to achieve approved end state, including facilitation of legacy buildings and new supply. 


Produces drawings and presentations for internal stakeholder(s) and client facing steering committee meetings (Workplace Managers, Business Unit Directors, Leadership, etc.) for review and feedback; involves project management staff as appropriate for move and construction services.

Collaborates with other team members to gain business intelligence. Responsible for occupancy data within the system of record. May be required to manage space walks for validation and update of occupancy metrics.

Partners with other departments on move and relocation sequencing and execution. Liaise with Change Management teams as needed.

Makes recommendations to Management on necessary space planning code changes and/or requirements and updates.

Attends client meetings to collect requirements, present findings and recommendation. Obtains approvals to proceed when required.

Acts as a single point of contact for relevant systems/processes in subject teams and day-to-day functions.

Other duties may be assigned.

SUPERVISORY RESPONSIBILITIES  

No formal supervisory responsibilities in this position. Provides informal assistance such as technical guidance, and/or training to coworkers.

QUALIFICATIONS

EDUCATION and EXPERIENCE  

Bachelor's degree (BA/BS) from 4-year college or university. Master's degree preferred. Minimum three years experience directly related to the delivery of strategic planning services; or equivalent combination of education and experience.

AutoCAD drawing experience is required.

CAFM software experience is preferred.


Bi-lingual in Spanish is required. 

 

 

Required Qualifications

    

  • 7-10 years of relevant experience in architecture/design, space planning, project management and/or strategy developed within, or in support of, a rapidly changing and growing corporate environment.
  • Knowledge of programming, design and documentation processes, procedures and standards and knowledge of facility planning and design programming methodologies.
  • Demonstrated proficiency with an IWMS Solution such as:  IBM Tririga, Archibus, etc.
  • Proficient AutoCAD, managing and reporting accurate and up-to-date space and occupancy related data.
  • Advanced skills in Excel and advanced skills in Business Intelligence tools Tableau Preferred.

Strong team player who is adaptable and capable of driving change

 

 

CERTIFICATES and/or LICENSES  

Professional Registration in Architecture or Interior Design preferred.
Certification in Corporate Real Estate, LEED or Facilities Management preferred.


COMMUNICATION SKILLS  

Excellent written and verbal communication skills. Strong organizational and analytical skills. Ability to provide efficient, timely, reliable and courteous service to customers. Ability to effectively present information.


FINANCIAL KNOWLEDGE  

Requires knowledge of financial terms and principles. Ability to calculate intermediate figures such as percentages, discounts, and/or commissions. Conducts basic financial analysis.


REASONING ABILITY  

Ability to comprehend, analyze, and interpret documents. Ability to solve problems involving several options in situations. Requires intermediate analytical and quantitative skills.


OTHER SKILLS and ABILITIES  

Proficient with word processing, spreadsheet, desktop publishing and CAD/CAFM software including MS Office Suite (MS Project, PowerPoint, Excel & Visio).

Familiar with system furniture design and modular furniture while demonstrating knowledge and adherence to building regulations and health & safety guidelines.

Ability to provide efficient, timely and reliable service to client(s). Ability to present information in an effective way. Ability to respond effectively to sensitive issues. Ability to collaborate, problem solve and multi-task. Ability to adapt to change when necessary.



SCOPE OF RESPONSIBILITY  

Decisions made with thorough knowledge of procedures and company policies to achieve set results and deadlines. Responsible for setting own project deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor.
