Office Management Staff Officer

Clearance: Must currently possess an active TS/SCI security clearance and be able to obtain a polygraph level clearance after hire

Location: Springfield, VA

Years of Experience: A minimum of 7 years relevant experience

Education: Bachelor's degree or equivalent experience within a related field

Position Overview:

Supports customers Front Office leadership with executive and business functions and expertise, as an integral member of the customers Executive Support Team.

Responsibilities:

  • Anticipate and de-conflict meeting requests and commitments among the IA seniors. Ensure that IA seniors are prepared for meetings and on time by obtaining and preparing read ahead books in advance of the engagement. Set up all support requirements for meetings, such as phone/VTC connections, schedule conference rooms, disseminate read-aheads, etc. Maintain situational awareness of the Client EXCOM calendars and ensure IA is aligned to meet the Client's Corporate Governance requirements and international equities.

  • Interact with seniors and Front Office staff during the course of the day on issues that need their immediate attention, keep them appraised of high priority issues and requirements, and seek guidance when needed. Closely coordinate with the IA Executive Team, IA Chief of Staff, IA offices, and ADE Front Office Staff. Anticipate and frame issues accordingly.

  • Represent the IA Front Office by providing a professional presence during normal working hours to answer phone calls, receive visitors, respond to other recurring and ad hoc requirements, etc. Ensure that there is continuity of coverage in your absence.

  • Route correspondence, both digitally through knowledge management tools and business processes, and hard copy staff and administrative packages to and from IA senior offices in boxes.

  • Perform KC Suspense Coordinator duties for tasking and administrative processes. Operate and manage taskers assigned to IA to include but not limited to NCERTS, Automated Tasking management (ATM) tool, IC, EXCOM, ADE Staff and IA Leadership ad hoc requests. Proactively receive, assign, track, and review staff packages for completeness, accuracy, and timeliness. Maintain and disseminate IA's tasker tracking spreadsheet on COE and SBU.

  • Perform travel coordination duties for IA seniors to meet TDY travel requirements, including inputting information in a timely manner into Defense Travel System (DTS), MET and other tools as required to support travel reservations and arrangements. Expeditiously submit travel vouchers. Keep IA senior leadership informed of any changes that impact travel.

Required Qualifications:

  • Demonstrated experience in administrative management and support.

  • Demonstrated experience in staff officer roles. The ability to write and communicate well.

  • Self-starter who can operate well within the Component Leadership Team.

Desired Qualifications:

  • Experience with NCERTS, tracking internal and external tasks, and staff packages.

  • (Experience with Defense Travel System (DTS), other travel management software and MET travel planning, coordination, and support.

  • (U) Experience in executive support.

Must be able to obtain, maintain and/or currently possess a security clearance.
